If you work in L&D, you have sat in the meeting where someone asks whether to buy Camtasia, Captivate or Articulate. It is a frustrating comparison because all three are legitimate, expensive, and aimed at different problems that sound identical in a budget request.

Here is the distinction that resolves it.

If you cannot tell which you need, answer one question: does the learner watch, practise, or get assessed?

The Question That Decides It

Watch → Camtasia. The learner sees how something is done. Output is a video. Screen recording, zoom, callouts, captions, light quizzing.

Practise → Captivate. The learner clicks through a simulated version of the software and gets corrected when wrong. Output is an interactive simulation. This is why Captivate survives in regulated industries — you can evidence that someone performed the task.

Get assessed and tracked → Articulate. The learner moves through a structured course with knowledge checks, branching and completion tracking, reviewed by stakeholders before release. Output is a SCORM/xAPI package for your LMS.

Note for existing Camtasia shops: TechSmith retired perpetual licences in Fall 2024. Old keys are grandfathered on that version, but new seats are annual subscriptions. If your renewal conversation suddenly feels different, that is why.

The seat model matters more than the sticker price. All three charge per author. If you have one person making content, Camtasia is trivially affordable and Articulate is a real line item. If you have eight authors, Articulate's review workflow may justify itself — and eight Captivate seats will hurt.

Where Each One Actually Wins

Camtasia

Best-in-class at the specific job of making a screen recording legible: zoom-and-pan onto the control being discussed, cursor emphasis, click effects, callouts, captions. It also does quizzing and LMS-compatible output, which is often enough for training that needs a completion record but not a simulation.

Its ceiling is that it produces video. Video is watched, not practised.

Adobe Captivate

Captivate supports software simulations and responsive eLearning. Articulate Storyline also supports screen recordings as view, try and test steps, so simulation is not exclusive to Captivate. Its cost is complexity. Captivate has the steepest learning curve here by a wide margin, and projects take real time.

Articulate 360

Not one tool but a suite — Storyline for bespoke interactions, Rise for fast responsive courses, plus Review for stakeholder comments. Rise in particular is why large teams adopt it: a subject-matter expert can build a decent responsive module without being a developer, and reviewers can comment inline rather than in a spreadsheet.

Its cost is the price, and the fact that slide-based course output is overkill if what you needed was a four-minute video showing where a button is.
