How to Record Audio on PowerPoint (2026): Windows, Mac, Web

Vorec Team · 2026-10-26 · About 7 min read

To record sound for a whole presentation, open the Record tab, select Record, start recording, talk through your slides, then stop. To record one audio clip on a single slide in PowerPoint for Windows, select Insert > Audio > Record Audio, name the clip, select Record, speak and select OK. The narration stays inside the .pptx until you export the file as a video with recorded timings and narrations turned on. PowerPoint for the web cannot record a slide show.

Steps come from Microsoft's support pages, read on 26 October 2026; we did not test them ourselves, and anything not confirmed there is marked "not checked".

Which method do you need?

A slide show recording also saves your timing and ink per slide; a Record Audio clip is just a sound object on one slide.

How to record a slide show with narration (Windows)

  1. Open your presentation and go to the Record tab on the ribbon. Select Record, or choose a start point from the Record section of the tab.
  2. Check the microphone icon at the top is on; switch microphones from the more options (three dots) icon. Speaker notes appear as a teleprompter.
  3. Select Start recording, wait for the countdown, and speak. Move between slides with the previous and next arrows.
  4. Wait for each transition to finish before you talk: narration is not recorded during transitions.
  5. Pause when needed, then select Stop and Play to review. To redo, select Delete, then Clear.
  6. Select Export > Export Video when you are happy.

Classic experience. In older versions, turn on the Recording tab (File > Options > Customize Ribbon), select Record, press R to start and S to stop. Each recorded slide gets an audio icon in its lower-right corner. Microsoft is explicit that recording does not create a video file; you export one separately. Re-recording a slide erases only that slide's earlier narration and ink.

How to record narration in PowerPoint on a Mac

On PowerPoint for Mac, the recording happens in Recording Studio:

  1. Select the Record button in the top-right corner, or Record > From Beginning or From Current Slide.
  2. Set audio and video in the toolbar's options dropdowns. For voice only, toggle the camera off with the video button.
  3. Use record, pause and resume as you talk; N or the right arrow advances, P goes back.
  4. Check the take with the Preview Play button. To redo a slide, select the trash can next to the record button.
  5. Leave with Esc or End show. Narration and timings are now on the slides.
  6. Select Record > Export to video for a shareable file.

For one slide on a Mac, Microsoft's macOS page covers Insert > Audio with Audio Browser or Audio from File; a Mac Record Audio command is not checked. To voice one slide, record the slide show from that slide.

How to record audio on a single slide (Windows)

Use this for a short spoken note, a pronunciation or a sound cue on one slide:

  1. Select the slide, then Insert > Audio > Record Audio.
  2. Type a name for the clip, select Record, and speak.
  3. Select Stop, then Play to listen back. Select Record to redo it, or OK to keep it.
  4. Drag the audio icon to where you want it on the slide.
  5. On the Playback tab, set Start to In Click Sequence, Automatically, or When Clicked On. If it plays automatically, tick Hide During Show so the icon disappears during the presentation.

The Playback tab also has Trim, fades, volume and Play in Background.

PowerPoint for the web can insert an existing file (MP3, WAV, M4A, AAC or OGA, up to 16 MB) but cannot record a slide show; recording a single clip there is not checked.

How to export PowerPoint as a video with audio

A narrated .pptx plays only in PowerPoint. For anyone else, export a video.

Windows

  1. Select File > Save so the latest version is saved as .pptx.
  2. Select File > Export > Create a Video, or Export to Video on the Recording tab.
  3. Pick a quality: Ultra HD (4K), Full HD (1080p), HD (720p) or Standard (480p). Microsoft notes 4K needs Windows 10 or later.
  4. In the second box, choose Use Recorded Timings and Narrations. This is the step that keeps your voice. If you haven't recorded timed narration, the box defaults to Don't Use Recorded Timings and Narrations, and each slide gets 5 seconds.
  5. Select Create Video, name the file, and choose MPEG-4 Video or Windows Media Video.

A long deck can take up to several hours to export. Macros, OLE/ActiveX controls and media linked from older PowerPoint versions are left out.

Mac

  1. Select File > Export. Microsoft says not to use Save As, which has no video options.
  2. Set File Format to MP4 or MOV, then pick the quality.
  3. Tick Use Recorded Timings and Narrations.
  4. Select Export.

Mac caveats: only narration recorded in Slide Show plays in the video (other embedded media won't), animation effects don't play, and narration export needs version 16.19 or later.

Why is my PowerPoint recording silent?

Check these in order:

  1. The mic was off or the wrong one was selected in the recording view. Check the mic icon and more options.
  2. Windows blocked the app. Go to Start > Settings > Privacy & security > Microphone. Turn on Microphone access, Let apps access your microphone, and Let desktop apps access your microphone. The desktop PowerPoint app needs that last switch.
  3. The microphone isn't working. Press the Windows key, type Sound, pick the mic under Input and run Start test. No moving bar means a device problem; close other apps using it.
  4. macOS hasn't allowed PowerPoint. Apple's steps: Apple menu > System Settings > Privacy & Security > Microphone, then turn access on for PowerPoint.
  5. You talked during a transition. Narration isn't recorded while a transition plays.
  6. Play Narrations is off. Tick it on the Slide Show tab.
  7. The video was exported without narration. Re-export with Use Recorded Timings and Narrations. On a Mac, Insert > Audio clips won't play in the video.

Don't want to record your own voice?

Export the deck as a silent video (or screen-record a software demo), then upload it to Vorec in the browser on any OS. Vorec writes narration synced to what happens on screen and voices it with AI, so no microphone is needed; its editor adds zoom, cursor and freeze-sync, and it can produce a written step-by-step guide. It does not open or edit .pptx files. Plans: a free trial (no credit card required), then Starter $9 a month ($86 a year), Pro $24 ($230) or Business $59 ($566).
